Overview

This training outline covers the basics of using OASIS at your location.  Please keep in mind that in addition to the training there may be setup items that will need to be completed by the trainer at your location.  A representative list of tasks is included with this outline.  Additionally, we can work with your staff one on one at their desks and you may wish to schedule additional time solely for this task. 

 

We recommend a minimum of 2 ½ days to cover all the items for representatives and manufacturers. The training outline and duration for distributors will be determined by which applications the client will use in OASIS.  We have found getting users off to a good start is vital to the success of OASIS implementation.

 

Day One

Focus will be on the Quotes (Projects) personnel. There are reporting features and other items discussed throughout the training including Submittals. We encourage questions and will try to answer each one.

 

First 1 – 2 hrs 

  • Login – User Name & Password – Security 
  • The Home Screen – The first thing you see in OASIS. User specific. 

1.      Recent Transactions, Highlighted transaction, etc

2.      Reminders

  • Calendar 

1.      My calendar vs. Company calendar

  •  Contacts
  • Manufacturers
    1. Creating, details, Resell, etc 
    2. Contacts 
    3. Terms, accounts 
    4. Catalog – PDF cut sheets, spec sheets – storing them in OASIS 
    5. Price lists 
  • Customers 
    1. Creating, details, Resell, etc 
    2. Contacts 
    3. Terms, accounts 

Next 5 - 6 hrs 

  • Projects – view 
    1. Phases 
    2. Bids (Quotes) 
    3. Distributors, Architects, Contractors, Multiple bids for a Distributor 
    4. Bill of Material, Column explanations, Code column 
    5. MFG Requests for Quotes, BOM and other types 
    6. Winning Bids 
    7. Quoting multiple customers, contractor counts, tracking 
    8. Printing Quotes 
  • Quotes – Daily or Project 

1.      Uses

2.      adding a quote to a project 

  • Submittals (1 hr), if possible 
    1. Producing a Submittal from a Quote (BOM) 
    2. Highlighted sets 
    3. Catalog building 

Extras if time permits 

  • PLU – Price Lookup System 
    1. Price Sheets – creating from scratch. 
    2. Copying and pasting from a spreadsheet. 
  • Reporting 

1.      Project follow ups

  • Configuration 
    1. Overview 
    2. Admin will take care of details, Rights, Security. Locations, etc. 
  • SOME OF DAY TWO TRAINING IS REPEATED WHEN THERE ARE DIFFERENT PEOPLE TRAINING ON DAY TWO. IF THE SAME GROUP IS THERE FOR TRAINING BOTH DAYS THEN THE FIRST SECTION WILL NOT HAVE TO BE REPEATED.

 

Day Two

Focus will be on the CSR, Order Entry folks. If needed, we will repeat the first sections for those who were not there on the first day. We should be able to cover these topics during a normal training day. 

  • Any items not covered in Day One 
  • Going over basics of getting into OASIS again if needed. 

Next 3 hrs 

  • Converting a Quote to Order 

1.      Converting

2.      Creating Orders

3.      Hold, Release, Partial Release, Multiple Releases, Returned Materials (RMA), Change and Cancel Orders.\

4.      Sending Orders using O2O or manufacturer connectivity

  • Stock Orders 

1.      Entry

2.      Resale order entry***

  • Shipments 

Next 1 hr 

  • Invoices 
    1. Entering Invoices 
    2. Unpaid and Aged Invoices 
  • Accounting person(s) may want to join here or we can do a sidebar for them at anytime
  • Payments
    1. Entering Payments 
    2. Check reconciliation (commission checks for representatives)
    3. Reporting 

Next 1 hr 

  • Reports – this is usually done with key people who need to run reports 
    1. Project Follow-up and Status Report along w/ Backlog 
    2. Quotes, Orders, Shipping, Invoices, Payments, 
    3. Paying your people

Other Items taking additional time - Additional Features and Functions of OASIS

Below is a list of features and functions that you might also wish to cover that are not included in basic OASIS training.  Additional time should be scheduled to cover these items. 

  • Resell – if Representative client does resell we will need to take some time here to discuss 

1.      Resell process started from the Quote

2.      Starting Resell from an Order

3.      Resell container

4.      Creating the Manufacturer order

5.      Invoice the end customer

6.      Invoicing for services rendered 

  • Inventory (if needed) 
  • Sample Tracking (if needed) 
  • Extensive reporting requests  
  • Use of the OASIS electronic Inbox 

Usually, we are on-site another day to help, answer questions and do individual training.
