Top Down Reports

Design Goals: Features! The “My Order Summary Report” system has been very successful – largely due to speed, but also due to the ability to adapt a report as needed. The Top Down Reporting system expands the flexibility of the previous system by allowing the user to report on quotes, orders, invoices and payments using a number of different reporting styles and features. The trade-off: these reports will not run as fast as My Order Summary Reports.

Prerequisites: Depends upon the report being run. Most are self-explanatory (e.g. you can’t report on quotes not in OASIS). However, the backlog reports require orders, invoices and payments to be entered into the system.

Report Builder: Top Down Reports use a report builder to define a number of similar reports. Once the report settings are determined, they may be saved and recalled at any time.

 

 

Update – Click after changing the other report controls (below) to update the report.

Reset – Reset the report controls to their initial state.

Save Report – Save report setting to be run again later.

Print and Output To – Print or save report as a windows document.

Title – name to show on the report

Zoom In and Zoom Out – Enlarge or reduce the report on screen

Filter Selected Values – Values are split on transactions (filtered).

Report – Any of the reports listed below

Fields – a number of fields that may be used to arrange and filter the reports.

Report Parameters – This is a section just above the report showing controls used to adjust the report.

Report Grouping – Drag a filed to this area to section the report using the field. A report section is created for each selected field value (if no data is found, the section of the report is not shown). Multiple report groupings are allowed.

Selection – Drag a filed to this area to filter the report.

Save Report – Save report setting to be run again later.

The Reports

Funnel Report (Experimental) – an experimental report and graph to show (in dollars) how quotations at an agency convert to money in the bank. The idea is to show the agency’s ability to convert quotes to money, the manufacturer’s ability to ship what was ordered, and the ability of the agency to collect commissions due.

Parameters: Year
Prerequisites: Quotes (projects), Orders, Invoices, and Payments
 

Month YTD Recap – A very practical report showing order sales, order commission, invoice sale amount and commissions paid. Values are for a selected month, year-to-date and last year-to-date. Any fields (see below) may be used to represent the row headings on the report:

Parameters: Row Headings, Year, Month, Order By (sort).
Prerequisites: Orders, Invoices, and Payments
 

Quote Summary – The quote summary report shows a column for each month of the year and any field (see below) may be used for row headings. Try using “Specifier” or “Distributor” for row headings and see the result!

Parameters: Row Headings, Year and flags to show Sales, Earnings, Overage and Commission.
Prerequisites: Quotes (projects)

 

Quote Detail – Use the quote detail report to extract the quote number, project name, sales price, commission and other details in a simple list. Use any of the fields below to arrange and filter sales and commission amounts.

Parameters: Row Headings, Order By and Timeframe.

PO Summary – The PO summary report shows a column for each month of the year and any field (see below) may be used for row headings. Use this report to report on booked orders in a variety of different ways.

Parameters: Row Headings, Year and flags to show Sales, Earnings, Overage and Commission.
Prerequisites: Orders

 

PO Detail – The PO detail report is styled after other PO listing reports in OASIS. The PO number, project name, reps, sales, sales balance, commission, commission balance, margin and margin balances. Use any of the fields below to arrange and filter sales and commission amounts.

Parameters: Row Headings, Order By and Timeframe.
Prerequisites: Orders (optionally Invoices and Payments)

 

Backlog Summary – The backlog summary identifies each open order with an amount due and calculates the sales amount, sales balance (sales less invoices applied), commission, commission balance (commission less payments received) and estimated overage. Resell margin and margin balance are also calculated. All values are show for PO items on hold and PO items that have been released (yes, partially released orders are split between the reports hold and release values. Any of the fields below may be used as row headers on the report.

Parameters: Row Headings and Timeframe.

Backlog Detail – The backlog detail report is styled after other PO listing reports in OASIS. The PO number, project name, reps, sales, sales balance, commission, commission balance, margin and margin balances. Use any of the fields below to arrange and filter sales and commission amounts.

Parameters: Row Headings, Order By and Timeframe.
Prerequisites: Orders, Invoices, and Payments
 

Invoice Summary – The invoice summary report shows a column for each month of the year and any field (see below) may be used for row headings. Use this report to report to estimate cash flow!

NOTE: Earnings are estimated on invoice reports (consider how lots are billed).
Parameters: Row Headings, Year and flags to show Sales, Earnings
Prerequisites: Orders, and Invoices
 

Invoice Detail – Display a row for each invoice showing invoice number, PO number, invoice date, amount and estimated earnings. Use any of the fields below to arrange and filter sales and commission amounts.

NOTE: Earnings are estimated on invoice reports (consider how lots are billed).
Parameters: Row Headings, Order By and Timeframe.
Prerequisites: Orders, and Invoices
 

Payment Summary – Summarized individual payments from the manufacturer. Use this report to cross check other reports for accuracy and balance against deposit slips. Many of the fields below may be used to report on actual earnings per row (e.g. earnings by customer).

Parameters: Row Headings, Year and flags to show Earnings, Overage and Commission.
Prerequisites: Orders, Invoices, and Payments
 

Payment Detail – Display a row for each payment showing check number, check date, whether or not the payment was posted, date receive and check amount. Many of the fields below may be used to arrange and filter the check amount.

Parameters: Row Headings, Order By and Timeframe.

Fields

Each field may be used to filter, group (section) or serve as the rows on any of the defined report. Some fields may only be used on specific reports (e.g. quote status only applies to quotes and not orders, invoices or payments).

 

Account – Commission account (normally for each sales person)

Agency – The winning agency on quotes or other agencies when sharing spec credits

Cancelled – Cancelled orders

Contractor – Customer identified as a contractor on the quote “customers” tab, or the “Contractor” role on the order.

CSR – the CSR

Disputed – Invoices or orders flagged as “disputed” (normally due to unpaid commissions).

Disputed Fault – “fault” (agency or manufacturer) of the commission dispute. Best to use this with the attitude of improving the overall business process.

Distributor – Customer identified as a distributor on the quote “customers” tab, or the “Distributor” on the order.

Manufacturer – The manufacturer.

Month – bid month on quotes, entry dates on orders, invoice date or payment date received.

Order Type – Project, stock and user defined order types.

POStatus – New, shipped, invoiced, closed or user defined order status values.

Quoter – as listed on quote or order

Quote Status – New, quoted, submitted, order pending, ordered or user defined.

Release Status – Hold, partial and released.

Resell – Buy, sell or commission (standard) orders.

Specifier – Any of the specifier entries on the quote or order.

Timeframe – normally used for selection (not report rows or grouping).

Workgroup – create workgroup for quote or order.

Year – bid year on quotes, entry dates on orders, invoice date or payment date received.
