Opportunity Tile (restricted)

Overview

The opportunity tile is an extension of the basic need for what is bidding - or the bid board concept. The added features are assembled to better engage outside sales as opposed to the inside sales staff. This includes notification and linking back to the actual transaction in OASIS using any browser enabled device.

Setup

  • Tile's Display Name - Title to show in the actual tile
  • Tile location - Which application to show the tile in (just use "Home" for now)
  • Who Should See This Tile - skip if creating for yourself
    • Users - One tile is refreshed and made visible by the selected OASIS users
    • Notifications - users selected here will be notified as configured
  • Select Quotes For - This will identify Sales Users only that are added to the job or assigned to an account that is added to a quote in OASIS. (The quoter field is ignored.)
  • Bid Date Month Window - bid dates as old as the number of months specified are evaluated for events that are configured/
  • Events
    • Add to bid board action - action to take when the check box "Bid Board" is selected in OASIS
    • Important Project action - action to take when the "Important Project" check box is selected
    • (new), Quoted and other quote status section - What to monitor and the action to take for quotes in the assigned status

Actions that may be taken on bid board and important project events:

  • Ignore - do nothing and ignore the event
  • Show Only - Show on the Opportunity Listing
  • Batch Email and Show - Wait until after 7PM and send with the evening list of updates sent in a single email and show on opportunity listing
  • Single Bid Alert Email and Show - Send a bid alert within 15 minutes and show on opportunity listing
  • Text and Show - Send a test (if user is setup with a mobile number - otherwise email) a bid alert within 15 minutes and show on opportunity listing.

When monitoring quotes in a given status, events are defined by what has changed and the action to take. An example is sending an outside sales person an email anytime their customer is added to a job in a quoted status.

Status change events include:

  • Ignore - do nothing and ignore the event
  • Enter Status - the job changed from one status to the identified status (e.g. quote has moved to the order pending status)
  • Bid Board - the job was added to the bid board AND is in the identified status
  • Add My Customer - my customer (identified by sales user configured) was added to the quote and the quote is in the identified status

Actions to take

  • Show Only - Show on the Opportunity Listing
  • Batch Email and Show - Wait until after 7PM and send with the evening list of updates sent in a single email and show on opportunity listing
  • Single Bid Alert Email and Show - Send a bid alert within 15 minutes and show on opportunity listing
  • Text and Show - Send a test (if user is setup with a mobile number - otherwise email) a bid alert within 15 minutes and show on opportunity listing.

Timing

The bid board tile will refresh every 15 minutes. Users will be emailed or texted for any bids added to the bid board or have the "important project" check box selected since the previous update.

After 7PM, the tile will scan for any states matching the "Batch Email" action. A summary of each matching job is added to a single email.

Tile View

The tile view is fairly simple: just a count of the number of jobs matching any of the configured events with an action other than ignore.

Detail Page

Clicking on the tile will show the detail page also called the "Opportunity Listing"

The projects are grouped by the following:

  • Bid Board
  • Important Project
  • And a section for each quote status that is not ignored.

At the top of the screen, the following menus may be used to alter the selection of the projects

  • Customer - each of "my" customers on the selected jobs is shown. Selecting a customer will refresh the page with only jobs pertaining to that customer. The project will also show the value of the quote for that customer.
  • Rank - each configured rank is provided as a menu option. Selecting a rank will select only those projects with the related rank. Customer and Rank may be selected together.
  • Sort - the listing may be sorted by project name or project value - descending

Clicking on the project name will show the project sales view:

Notification Types

The Opportunity tile is able to notify users in one of three methods:

  • Single Bid Alert - An email is sent formatted much like the project sales view. Clicking on the project name in the email will open the browser on the device and show the project sales view in OASIS O4.
  • Batch Email and Show - This is a group of quotes updates in a single email. Notes on why the quote has been identified (e.g. the quote status changed to submitted) are included. A link is provided to allow the user to click on the link to see the project sales view of the job in OASIS O4
  • Text - only a project name, basic information (e.g. bid alert) and a url to click on is sent. Clicking on the URL will open the browser on the device and show the job in OASIS O4.
