Using Search Keys in OASIS

Overview

User Search Tags in OASIS have many different uses. You can create these on your own. They are reportable and searchable.

 

These are for items that are not currently defined in OASIS, users can create these tags to define: 

  • various job types, Lighting quoter, gear quoter, territories, etc can be same for quotes and orders, etc
  • related projects, customers, manufacturers.

Examples could be: 

  • A group may have defined sales areas/territories such a North, South, East and West they want to track what area the sales are in.
  • Job Types such as Schools/Colleges, Hospital/Medical, Residential, Retail, etc
  • Yes or No questions such as “Is this a "Green" job?”
  • Text boxes for free form information 

In the following examples, the Search Tag is used to define Job Types, Yes/No questions, Text fields.

 

Creating Search Tags

 

Go to Configuration, then Software (assumes you have Admin rights)

Click "Tags"

 

Example # 1 – Job Types (drop down menu)

-  In this scenario, we will create a Tag (Key) called “Job Type” and make our selections Medical, Schools, Retail, Residential, etc. 

 

The Search Tag Values window appears.  

If a blank line does not appear, to create a new Search Tag, and click the New button on the toolbar.

A blank line will appear under the key and type columns.

 

Type in the Key such as “Job Type” (shown below) 

In the Type column, click on the blank cell until the dropdown menu appears.

Select the Key Type you want to see – in this case select “QUOTE-PO-Choice”

NOTE - Type allows you to select the "Applications" you want associated with this tag (important for reporting)

In the Value column, enter/type the various job types as shown below (a new blank line will appear after each entry)

Once complete, click OK.

NOTE - these entries may be edited at any time.

 

In a Project / Job

Then when in a new Project/Job, there is a Search Tag area now called “Job Type” that will allow you to define this job using the values you have entered.

 

Searching or running reports

This also allows you to search using the Search Tags as well. Here is an example:

  • In Projects, go to File and Find (Control –F), OR
  • using the blue Search bar on the right, click Find.
  • In the window, click the Search Keys tab.
  • In the Job Type dropdown, select the type needed.
  • Click OK.

This will produce a list of projects/quotes where the job type is as you have selected.

 

Other User/Search Tags 

 

 

Example # 2     Yes / No Tags 

-         Following the same instructions above

-         No Value is needed

 

Will produce a Yes / No option

 

Example #3       Text Entry box 

-          Enter the Key needed and select “QUOTE-PO-Text”

-          No Value is needed

 

Will produce the example below

 

Search Tag Key and Value Details

Contact-Y/N

Applies to Contacts. Indicates Yes or No for any criteria entered in the Value column. Example:  Key = Mailing List?, Value = Yes or No

Contact-Choice

Applies to Contacts only. Allows you to create a Key, then create any number of values to search/group by. Example:   Key=Memberships, Values = IEEE, PE, AIA, ASID, IESNA. Could do a search for all members of IEEE

Contact-Text

Applies to Contacts. Allows you to free form text into the box designated by the Value. Example:  Key = Supervisor?, Value = whatever is typed in the text box – John or Jane

Customer-Y/N

Applies to Customers. Indicates Yes or No for any criteria entered in the Value column. Example:  Key = Sends EDI on Stock? , Value = Yes or No

Customer-Choice

Applies to Customers only. Allows you to create a Key, then create any number of values to search/group by. Example:   Key=State, Values = Maryland, Pennsylvania, West Virginia, Delaware. Could do a search all customers in a certain state

Customer-Text

Applies to Contacts. Allows you to free form text into the box designated by the Value. Example:  Key = Program?, Value = whatever is typed in the text box – Advantage, Alliance

Manufacturer-Y/N

Applies to Manufacturers. Indicates Yes or No for any criteria entered in the Value column. Example:  Key = Requires Cust Copy? , Value = Yes or No

Manufacturer-Choice

Applies to Manufacturers only. Allows you to create a Key, then create any number of values to search/group by. Example:   Key=Fixture Types, Values = Lamps, LED, Fiber Optic.

Manufacturer-Text

Applies to Contacts. Allows you to free form text into the box designated by the Value. Example:  Key = Main Warehouse?, Value = whatever is typed in the text box – Little Rock, Dallas, Chicago

Manufacturer-Large Text

Applies to Contacts. Allows you to free form text into the box designated by the Value. Example:  See above

PO-Y/N

Applies to Orders. Indicates Yes or No for any criteria entered in the Value column. Example:  Key = NTG Required? , Value = Yes or No

PO-Choice

Applies to Orders. Allows you to create a Key, then create any number of values to search/group by. Example:  Key=Job Type, Values = Medical, School, Industrial, High End Residential.

PO-Text

Applies to Contacts. Allows you to free form text into the box designated by the Value. Example:  Key = Receiver Name, Value = whatever is typed in the text box

Quote-Y/N

Applies to Quotes only. Indicates Yes or No for any criteria entered in the Value column. Example:  Key = Form Required? , Value = Yes or No

Quote-Choice

Applies to Quotes. Allows you to create a Key, then create any number of values to search/group by. Example:   Key=Job Type, Values = Medical, School, Industrial, High End Residential.

Quote-Text

Applies to Quotes. Allows you to free form text into the box designated by the Value. Example:  Key = Pricing?, Value = whatever is typed in the text box – DP Pricing on lamps, GT List

Quote-PO-Y/N

Applies to Quotes and Orders. Indicates Yes or No for any criteria entered in the Value column. Example:  Key = Approved Build? , Value = Yes or No

Quote-PO-Choice
