Toolbar Buttons

  

Button Purpose / Action
Creates a new Commission check.
Creates a new Customer payment.
Opens the currently selected payment in the listing.
Opens the Find Payments Dialog window.
Prints the currently selected payment(s) in the listing.

Displays or hides the blue sidebar with Find, Views, Filters and Locate functionality.

Opens the Payments user guide.

Find

Basic Tab

Button/Field Purpose / Action
Invoice# Invoice Number for the payment*
Check# Check number on the payment*
Invoice Date Date of Invoice
Payment Received If the invoice payment was recorded in OASIS, this is the date the payment was received.
Has Difference Is the amount received (per invoice less deductions) different from the check amount?
Has Credit Is the amount received (per invoice less deductions) less than the check amount?
Has Debit Is the amount received (per invoice less deductions) greater than the check amount?
OK Accepts the search criteria that has been entered on all tabs.
Cancel Stops the search and returns to the main payment listing screen.

* The asterisk may be used where parts of the field are not known (e.g. 123*985 will match an invoice number 123BGM985)

More Tab

Button/Field Purpose / Action
Manufacturer Allows you to select one or more manufacturers that are on the payments
Customer Allows you to select one or more customers that are on the payments
OK Accepts the search criteria that has been entered on all tabs.
Cancel Stops the search and returns to the main payment listing screen.

Internal Tab

Button/Field Purpose / Action
Workgroup Allows you to select one or more Worgroups
OK Accepts the search criteria that has been entered on all tabs.
Cancel Stops the search and returns to the main payment listing screen.

Export

When you select a payment or payments in the listing, clicking on File->Export will bring up a dialog box that allows you to select the location and file name for the export.

Open Accounts

 

Field Purpose / Action
Name Sales Account ID
Description Full name from the sales account
Cross A crossover account - typically an account code controlled by another data system.
Active Shows if the sales account is active or inactive
PercentOfCommission The percent of commission allocated to the sales account that is credited as "take home pay".
PercentOfMarkup The percent of resell markup allocated to the sales account that is credited as "take home pay".
PercentageOfOverage The percent of overage allocated to the sales account that is credited as "take home pay"
RepAccount The account is associated with a person
StandardPercentage The percentage to be credited on orders for the sales account if the user is the quoter.
TaxAccount The account is associated with taxes.

Print

When you select a payment or payments in the listing, clicking on File->Print will bring up a dialog box that allows you to select where you wish to send the print to. Options include: local printer, print preview, PDF, Excel, to message in PDF format, and to message in Excel format.

Configuration

Insert New Row Inserts a new row at the row that is currently selected
Remove Selected Row Deletes the currently selected row
OK Accepts the changes made to the Invoice Status
Cancel Cancels the operation and returns to 

Invoice Status Tab

Button/Field Purpose / Action
ID An integer used to keep the various statuses separate
Name The title of the status
Closed The status indicates the transaction is closed.
ReadOnly The status indicates the transaction is read only.

Payment Type Tab

Button/Field Purpose / Action
ID An integer used to keep the various payment types separate
Name The title of the payment type

Preferences

Display Tab

Button/Field Purpose / Action
Show Fields List of fields that are currently set to display as columns on the Payments listing.
Available Fields List of available fields that are not set to display as columns on the Payments listing.
Left Arrow Adds the selected field in Available Fields over to the Show Fields section.
Double Left Arrow Adds all the available fields over to the Show Fields section.
Right Arrow Removes the selected field in Show Fields 
Double Right Arrow Removes all the available fields from the Show Fields section
Up Moves the currently selected field in Show Fields to display further to the left of the listing.
Down Moves the currently selected field in Show Fields to display further to the right of the listing.
OK Accepts all the changes and returns to the Payments Listing.
Cancel Stops the operation and returns to the Payments Listing.

Sort Tab

Button/Field Purpose / Action
Sort Order Listing of the fields that are currently being sorted.  Next to the field is (asc) or (desc) depending on the sort direction.
Available Fields All the fields that are available to sort
Left Arrow Moves the currently selected field(s) on the right pane over to the left pane.
Double Left Arrow Moves all the fields on the right pane over to the left pane
Right Arrow Moves the currently selected field(s) on the left pane over to the right pane.
Double Right Arrow Moves all the fields on the left pane over to the right pane
Up Moves the selected field higher in the sort priority
Down Moves the selected field lower in the sort priority
Dir Changes the sort direction for the selected field to (asc)ending or (desc)ending.
OK Accepts the current sort settings and returns to the Payments Listing
Cancel Cancels the current settings and returns to the Payments Listing.

Close

Closes the OASIS program.

Invoice Status Selects invoices based on the selected Invoice Statuses.  Leaving blank will use all status.
Disputed Selects invoices that have a dispute.

Buy Selects vendor invoices from resell orders.
Has Payment Selects invoices that have a payment.
No Payments Selects invoices that do not have any payments.

Order

Field/Button Item Purpose / Action
Order Type Selects invoices based on the chosen order type.  Leaving blank will use all order types.
PO Entry Selects invoices based on a range of PO Entry dates.
Internal

CSR Selects invoices based on the chosen CSRs.  Leaving blank will use all CSR.
Quoter Selects invoices based on the chosen Quoters.  Leaving blank will use all Quoters.
Account Selects invoices based on the chosen Accounts.  Leaving blanks will use all Accounts.
Workgroup Selects invoices based on the chosen Workgroups.  Leaving blank will use all Workgroups.
ResellCompany Selects invoices based on the chose Resell Company IDs.  Leaving blank will use all resell companies.
Parties

Field/Button Item Purpose / Action
Manufacturer Selects invoices based on the chosen manufacturers.  Leaving blank will use all manufacturers.
Parent Manufacturer Selects invoices based on the chosen parent manufacturers.  Leaving blank will use all manufacturers.
Customer Selects invoices based on the chosen customers.  Leaving blank will use all customers.
Parent Customer Selects invoices based on the chosen parent customers.  Leaving blank will use all parent customers.
Specifiers Selects invoices based on the chosen specifiers.  Leaving blank will use all specifiers.
Search Keys

This tab is dependent on any search keys that have been created in the database.  It is fully customizable.  If you have any search keys, then they will show up on this tab to be used in the find operation.

Bottom Buttons

Field/Button Item Purpose / Action
Print Prints the Aged Invoice Report to the Location selected in Output To on the General Tab
Cancel Closes the report dialog and returns to the Invoice Listing.
Save Report Saves a copy of the report in the Reports section with the name entered in the Title field on the General Tab

Commissions for Accounts

General

Resell Markup Limit report to resell orders paid during the selected timeframe

Pay Costs and Commission first Don't allocate money to pay out until the costs (resell orders) or commissions (commissioned orders) are paid first.
Cap earnings Cap earnings based on earnings listed on order
Draft Only Show all payments during the selected timeframe(s) - whether posted or not
Summary Only Only show a summery report.

Inside Sales Performance Report

General Tab

Field/Button Item Purpose / Action
Output to Sets where the report will be sent.
Title Self-explanatory
Commissions Select commissioned payments during the timeframe
Summary Only Only show a summary report
As Sales/Quoter/CSR Select orders where user is identified as any of the selected roles
User Inside sales staff user ID to report on.
Print Prints the report to the location specified in Output To
Cancel Closes the dialog and returns to the Payment Listing
Save Report Saves the report the the Reports section with the name listed in the Title field.

Days To Paid

Field/Button Item Purpose / Action
Output to Sets where the report will be sent.
Title User defined title of the report
Timeframe Select invoices during a given timeframe and calculate the days from the invoice date to the day the invoice was paid.
Print Prints the report to the location specified in Output To
Cancel Closes the dialog and returns to the Invoice Listing

Create Report Revision Run the report and save the report data for later comparison
Compare Report Revisions Compare two saved report revisions and show the differences.

Grouping

Adjust Values If this is checked next to a field, then the values for that field will be adjusted down to only the amount applicable to that grouping.  If it is unchecked then it will show the total value of that field for that transaction.
Page Break If this is checked next to a field, then a page break will be inserted between each grouping of that field.
Move Up Moves the selected field(s) up in priority
Move Down Moves the selected field(s) down in priority
Remove Removes the selected Field(s) from the left pane and returns it to the right pane.
Fields that can be used for grouping Lists all the fields available that can be moved to the grouping pane.  The fields available are dynamic based on what settings you have in Layout.
Add Moves the currently selected field(s) from the right pane to the left pane
OK Saves the currently selected grouping parameters and returns to the Report Builder dialog
Cancel Closes the Define Grouping dialog and returns to the Report Builder dialog
Sort

Works the same as Grouping (above), however you can choose rather to sort ascending or descending, rather than adjust values or page break.  The fields that are available are dynamic based on what is set in the Grouping section.

Filter

Filter Opens the Filter Report Dialog
Filter on these fields Lists the current filter parameters selected

This is a representative screen of some of the types of filters that can be applied. What fields are available here depend on what fields are in Grouping.  Some will have add/remove buttons where you can select one or more values to filter by.  Others will have date ranges, check boxes or pull-down menus.  For a complete list of what is available for filtering, see Field list below.

Layout

Layout Opens the Report Layout Dialog
Show these fields in the report Lists the current layout parameters selected
Report Orientation Shows if the report is set to Portrait, Landscape or Legal

Report Width Number of pixels for the report (Portrait has 756, Landscape has 738, and Legal has 954)
Used Total of all the pixels used up by the currently displayed fields
Available Remaining number of pixels available for fields
Fields Displayed in Columns Works the same as Grouping (above), however you can set the column width for each field, rather than adjust values or page break. Column width that is blue falls within the report width.  Column width shown in red font is outside the width of the report.  Move Up, Move Down and Remove buttons work the same as Grouping.
Fields Displayed in Their Own Rows Works the same as Grouping (above), however you can set the column width for each field, rather than adjust values or page break. Column width that is blue falls within the report width.  Column width shown in red font is outside the width of the report.  Move Up, Move Down and Remove buttons work the same as Grouping.  You can insert a Row Break from the right pane here to designate any row breaks desired on the report.
Fields That Can be Included in the Report Lists all the fields available that can be moved in the Left Column or Left Row panes.  For a complete list of fields, see below.
Add in Column Moves the currently selected field(s) into the top left pane.
Add in Row Moves the currently selected field(s) into the bottom left pane.
OK Accepts the current layout and returns to the Report builder dialog.
Cancel Closes the dialog without saving the changes and returns to the Report builder dialog.

General Tab

Field/Button Purpose / Action
Output To Designates the format for the report (Print, Preview, PDF, Excel or Email)
Title Text field to provide a usable name for the report if saving.  Also prints on top of the report
Report Style: Bookings Report - All Orders Show report as a order bookings report
Report Style: Backlog - Show orders that have not been fully paid Show as a backlog - orders not invoice and paid in full.
Report Style: PO Listing - good for administrators Show all orders.
Show Details Show individual orders
Show Totals Page Adds a Total Page at the end
Accounting Period Selected accounting period for the report.
Account Allows you to select which Sales Account(s) you want to run this report for.
Print Prints the report via the format selected in the Output To field
Cancel Returns to the Payment Listing without running the report
Save Report Saves the report in the Reports section under the name listed in Report Title

Context Menu (Right-Click)

Print Payment

Field/Button Purpose / Action
Output To Designates the format for the printing the payment (Print, Preview, PDF, Excel or Email)
Group Allows you to group the print by Brand, Customer, Primary Account and Workgroup
Sort Allows you to sort the print by Invoice Number, Account, Invoice Date, PO Number, Customer, Invoice Total, Export Commission, Amount Paid, Balance, Representative, and Jobs

 

Blue Side Bar

Field/Button Purpose / Action
Result line at top of bar When a search is complete, this line will display Showing [search criteria] (# of results)
Find This is a hyperlink that will open the Find Invoices dialog box
Check# & Manufacturer ID# GO Allows you to enter an Check Number or Manufacturer ID and press GO to search for payments with those settings.  Wildcards (*) are acceptable.
Day Views (Today, 2 days, 7 days, Days ___ GO)

Clicking any of these hyperlinks will perform a search for all payments created either Today, in the past 2 days, or in the past 7 days.  Entering a numeric value in the blank field next to Days and then pressing GO will result in a search for all Payments created within the number of days that were entered. 

My Transactions Only check box Checking this box will filter the results to display only the payment you have created.
Locate Unposted Clicking will perform a search for payments that are n to posted.
