Toolbar Buttons

  

Button Purpose / Action
Creates a new Customer Commissioned Invoice.
Creates a new Vendor Resell-Buy Invoice.
Opens the currently selected invoice in the listing.
Creates a new Order (left button is for Commissioned and the right button is for Resell)
Opens the Find Invoice Dialog window.
Prints the currently selected invoices in the listing.

Displays or hides the blue sidebar with Find, Views, Filters and Locate functionality.

Opens the Invoice user guide.

Invoice Status Allows you to select one or more invoice statuses to search for
Disputed Was the invoice disputed

Has Payment

Does the invoice appear one or more payments?

No Payments

Does the invoice not appear on any payments?

OK Accepts the search criteria that has been entered on all tabs.
Cancel Stops the search and returns to the main invoice listing screen.
Restore Last Restore last search (from last press of the "OK" button).

* The asterisk may be used where parts of the field are not known (e.g. 123*985 will match an invoice number 123BGM985)

Order Tab

Search Keys Tab

This tab is dependent on any search keys that have been created in the database.  It is fully customizable.  If you have any search keys, then they will show up on this tab to be used in the find operation.

Refresh

Clicking on this or hitting the F5 key will refresh the Invoice Listing to reflect any changes that were made since they last time the listing was pulled up.

Export

When you select an invoice or invoices in the listing, clicking on File->Export will bring up a dialog box that allows you to select the location and file name for the export.

Print

When you select an invoice or invoices in the listing, clicking on File->Print will bring up a dialog box that allows you to select where you wish to send the print to.  Options include: local printer, print preview, PDF, Excel, to message in PDF format, and to message in Excel format.

Configuration

Insert New Row Inserts a new row at the row that is currently selected

Invoice Status Tab

Button/Field Purpose / Action
ID An integer used to keep the various statuses separate
Name The title of the status
Closed Indicates closed state if name is changed
ReadOnly Invoice status indicates no changes are allowed to the invoice.

Payment Type Tab

ID An integer used to keep the various payment types separate
Name The title of the payment type

Preferences

Display Tab

Button/Field Purpose / Action
Show Fields List of fields that are currently set to display as columns on the Invoice listing.
Available Fields List of available fields that are not set to display as columns on the Invoice listing.
Left Arrow Adds the selected field in Available Fields over to the Show Fields section.
Double Left Arrow Adds all the available fields over to the Show Fields section.
Right Arrow Removes the selected field in Show Fields 
Double Right Arrow Removes all the available fields from the Show Fields section
Up Moves the currently selected field in Show Fields to display further to the left of the listing.
Down Moves the currently selected field in Show Fields to display further to the right of the listing.
OK Accepts all the changes and returns to the Invoice Listing.
Cancel Stops the operation and returns to the Invoice Listing.

Sort Tab

Button/Field Purpose / Action
Sort Order Listing of the fields that are currently being sorted.  Next to the field is (asc) or (desc) depending on the sort direction.
Available Fields All the fields that are available to sort
Left Arrow Moves the currently selected field(s) on the right pane over to the left pane.
Double Left Arrow Moves all the fields on the right pane over to the left pane
Right Arrow Moves the currently selected field(s) on the left pane over to the right pane.
Double Right Arrow Moves all the fields on the left pane over to the right pane
Up Moves the selected field higher in the sort priority
Down Moves the selected field lower in the sort priority
Dir Changes the sort direction for the selected field to (asc)ending or (desc)ending.
OK Accepts the current sort settings and returns to the Invoice Listing
Cancel Cancels the current settings and returns to the Invoice Listing.

Close

Closes the OASIS program.

Edit

Copy Standard clipboard copy - copy selected items in the invoice listing.

View

Save View Opens the Save View Dialog (if there are Find results currently visible)
Get View Gives you the option to choose a saved view

Name Allows you to name the view you are about to save

New Commission Request Create commission requests for all the selected invoices. Used when disputing multiple invoices with a manufacturer.
Multiple Commissioned PO/Invoice Entry Opens the Mutliple PO/Invoice Entry dialog box
Receive Invoices Receive invoices for any manufacturers setup in OASIS with direct access to the manufacturer's data system.
Show Invoice Download Folder Opens the Downloads folder dialog box with Invoice displayed

* - For Memo, Packing Slip Print and Submittal Letter, if you select it without an Invoice highlighted it opens a blank Bill of Materials.  If you select an invoice before you choose one of these options, then you will get the Bill of Materials from that invoice.

Manufacturer Select the manufacturer for the Invoices/POs being entered

Line Items

Account ID Sales account to assign to any auto created orders
Amount Paid Amount paid on the invoice. If "Date Paid" is also specified, a payment will be created and updated for all invoice paid on the same day.
City Self Explanatory (filled out automatically)
Cust Number Manufacturer customer number as setup in the Manufacturer editor on the Accounts tab. The related customer is used to locate or create the PO when applying invoices.
Cust Valid Checked if the system was able to locate the "Cust Number" and the related customer entry in OASIS

Preferences Opens a dialog where you can select what fields are shown in the listing and how they are to be sorted.

Tools Menu

Menu Item Purpose / Action
Create Matching OASIS Transaction Use the invoice data to create a matching order in OASIS and then attempt to apply the invoice
Select OASIS PO and Move Search for a PO and move the order data to the attachments tab of the selected order
Move to Related OASIS Transaction Don't attempt to apply the invoice - just move to the related OASIS PO.
Open OASIS Transaction Attempt to find the related PO from the invoice information. If found in OASIS, open the related PO.
Compare to OASIS Transaction Compare the invoice to the related OASIS transaction
Show Raw Data Show raw data as it was received front eh external data system.
Clean Up (Move to Related)

Clean up the folder by:

  1. Attempting to apply the invoice each transaction
  2. If the invoice can not be created, move the invoice data to the related PO attachments tab in OASIS

Otherwise, the invoice data will remain in the folder. (NOTE: if the folder become too large, auto invoice processing will halt.)

Invoiceable Resell POs

Field/Button Item Purpose / Action
Output to Sets where the report will be sent.
Invoiceable by non-zero balance method Show orders to be invoiced based on lot totals being different. That is if the ratio of invoiced cost is higher than the ratio of invoiced sell, then the order should be invoiced.
Invoicable based on last mfg or agency invoice date Show orders to be invoiced based on date of last invoices. That is if the date of the last vendor invoice is after the date of the last customer invoice, then the order should be considered for invoicing.
Suggest items to bill Show items to bill. Otherwise, just show the order header.
Show manufacturer invoices Show cost side invoices.
Show invoices to customer Show customer side invoices
OK Prints the report to the location specified in Output To
Cancel Closes the dialog and returns to the Invoice Listing

Est. Shipping Date

Audit Transaction

After selecting an invoice (or multiple invoices), clicking this option will generate an audit report for each transaction selected.  The intention of this report is to show the order, invoice and payment information together to review how the order was billed.

Compare Report Revisions Compare two previously saved revisions of the same report. Good for identifying orders that have been canceled or otherwise changed between two different reporting periods.

Top Buttons

Field/Button Item Purpose / Action
Saves a copy of the report settings in the Report section with the name listed in the Report Title field
Prints a copy of the report to the setting in Output To field
Reset Returns the report Builder to default settings
Output To Allows the choice to send the report to Printer, Print Preview, PDF, Excel or Send Message

Grouping

Field/Button  Purpose / Action
Grouping Opens the Define Grouping for the Report Dialog
Group on these fields Lists the current grouping parameters selected

Report currently groups on these fields Listing of fields that are currently selected to group by
Adjust Values If this is checked next to a field, then the values for that field will be adjusted down to only the amount applicable to that grouping.  If it is unchecked then it will show the total value of that field for that transaction.
Page Break If this is checked next to a field, then a page break will be inserted between each grouping of that field.
Move Up Moves the selected field(s) up in priority
Move Down Moves the selected field(s) down in priority
Remove Removes the selected Field(s) from the left pane and returns it to the right pane.
Fields that can be used for grouping Lists all the fields available that can be moved to the grouping pane
Add Moves the currently selected field(s) from the right pane to the left pane
OK Saves the currently selected grouping parameters and returns to the Report Builder dialog
Cancel Closes the Define Grouping dialog and returns to the Report Builder dialog
Sort

Sort Opens the Sort Order for the Report Dialog
Sort on these fields Lists the current sorting parameters selected

Works the same as Grouping (above), however you can choose rather to sort ascending or descending, rather than adjust values or page break.

Filter

This is a representative screen of some of the types of filters that can be applied. What fields are available here depend on what fields are in Grouping.  Some will have add/remove buttons where you can select one or more values to filter by.  Others will have date ranges, check boxes or pull-down menus.  For a complete list of what is available for filtering, see Field list below.

Layout

Layout Opens the Report Layout Dialog

Report Orientation Shows if the report is set to Portrait, Landscape or Legal

Fields Displayed in Columns Works the same as Grouping (above), however you can set the column width for each field, rather than adjust values or page break. Column width that is blue falls within the report width.  Column width shown in red font is outside the width of the report.  Move Up, Move Down and Remove buttons work the same as Grouping.
Fields Displayed in Their Own Rows Works the same as Grouping (above), however you can set the column width for each field, rather than adjust values or page break. Column width that is blue falls within the report width.  Column width shown in red font is outside the width of the report.  Move Up, Move Down and Remove buttons work the same as Grouping.  You can insert a Row Break from the right pane here to designate any row breaks desired on the report.
Fields That Can be Included in the Report Lists all the fields available that can be moved in the Left Column or Left Row panes.  For a complete list of fields, see below.
Add in Column Moves the currently selected field(s) into the top left pane.
Add in Row Moves the currently selected field(s) into the bottom left pane.
OK Accepts the current layout and returns to the Report builder dialog.
Cancel Closes the dialog without saving the changes and returns to the Report builder dialog.

Context Menu (Right-Click)

New Commission Request

Output to Sets where the report will be sent.
Addressed To Manufacturer that the request will be sent to
Notes Free text field for entering the request.
OK Prints/Sends the request to the location selected under Output To
Cancel Closes the request and returns to the Invoice Listing.

Blue Side Bar

Field/Button Purpose / Action
Result line at top of bar When a search is complete, this line will display Showing [search criteria] (# of results)
Find This is a hyperlink that will open the Find Invoices dialog box
Inv# & PO# GO Allows you to enter an Invoice Number or Purchase Order Number and press GO to search for it.  Wildcards (*) are acceptable.
Day Views (Today, 2 days, 7 days, Days ___ GO)

Clicking any of these hyperlinks will perform a search for all invoices created either Today, in the past 2 days, or in the past 7 days.  Entering a numeric value in the blank field next to Days and then pressing GO will result in a search for all invoices created within the number of days that were entered. 

Filter Type Pull down listing will allow you to select a filter to display invoices by a certain invoice type (Commissioned, Vendor or Customer).
My Invoices Only check box Checking this box will filter the results to display only the invoices you have created.
Locate (Disputed, Receivable, Payable) Clicking any of these hyperlinks will perform a search for invoices that are flagged as Disputed, has a receivable amount, or has a payable amount.
Invoiceable Orders Show orders that should be invoiced due to a vendor invoice being received and a customer invoice not being sent out.
POs with Balance Show orders that should be invoiced as the ratio of the costs that have been invoiced exceeded the ratio of the customer invoices that have been created.
