Line Level Reporting
A new set of reporting is now available. They can be accessed from the Projects2 and Orders sections of OASIS (invoices and payments will be released in the future).
Line level reporting is very similar to the current customizable reports that are available for quotes, orders, invoices, and payments. However, where the current customizable reports focus on reporting on quotes, orders, etc. at the transaction level; this set of reports are designed to focus on the content within quotes and orders.
For example, for the same quote a customizable quote report will look like this...
A customizable line level quote report will look like this...
The quote detail report body focuses on information about the quote: project name, quote status, bid date, total sell of the quote, total earnings for the quote, etc. The line level report body focuses on the content of the quote. There are 3 items in the quote that make up the body of the report. The line level body lists the quantity, fixture type, manufacturer, part number, unit sell price, total sell price of the part (not the total sell price of the quote), etc.
New report fields are available in line level reporting. There are a series of "Per Unit" fields that will report the per unit value of items. Other fields will now react differently. For example, the part number field in a quote listing report would show all the items in a quote as a list: Item A, Item B, Item C. In a line level report, each item is listed individually as a line in the report body. Likewise, a field such as Sell will show the quote total sell in a quote listing report. In a line level report, Sell is the product of the per unit sell price of an item multiplied by the quantity of items on the quote line.
The report heading is a new section available in line level reporting. The focus of the report body is about the quote content, but information about the quote itself is still important. That information can be displayed in the report heading. Here, the information that would typically be in the body of a quote listing report can be displayed: project name, quote status, bid date, etc.
Now has a report counts feature to indicate the number of transactions are present within the respective sections of a report.
To create report headings, the Layout feature contains an additional section...
The report fields selected in this list become part of the report header. The width of the field and row breaks can be defined here as well. Multiple row breaks are allowed in this section of the report to create spacing within the report header.
The report heading can contain any report field. But the point must be emphasized that the information displayed will be for the entirety of the transaction (the quote or order). For example, if the Sell field is moved from the report body to the report heading of the report:
The value of Sell will be the total value for the quote. For our example report above, that means $60,700.00 will be displayed in the report heading.
What if a report requirement is to show the Sell total in the body of the report (the product of quantity x per unit sell price) and also list the quote's total sell value in the report header?
The Sell field cannot be in two places at once within Layout. To accommodate this requirement, specialized report fields are available...
These Transaction-Level fields are specialized versions of the current currency report fields. Their calculations are exactly the same as the other report fields, but they can only calculate a value for the transaction. Their purpose is to allow the same currency report field, such as Sell, to be included in the report body while its transaction-level counterpart, such as Quote Total Sell, can be included in the report heading. The 'Quote Total' fields can only be used in the heading of the report.
By default, a line level report uses the transaction's unique database ID (internal to OASIS) as its first field in Grouping. This is necessary in order for a report to contain heading information. If the default field is removed or re-positioned so that it is not the first field in Grouping, the report heading will not appear on the report. When working in Grouping, if the default field is not present as the first field in Grouping, a dialog will display to act as a reminder that no report heading information will be available...
Likewise, if report header information is added in Layout, but the default field is not present as the first field in Grouping, a dialog will display to act as a reminder that no report heading information will be available...
This default Grouping value will not show as a Group header value. It will show as a total line for the quote and acts as a convenient way to get totals for the currency fields in the body of the report when reporting per quote.
Examples (same report with only changes in Grouping):
No Grouping defined...
Default Grouping field defined...
Default Grouping field defined along with Manufacturer...
