Basic Representative Version Setup

Overview

This document shows the basics setup required to begin using OASIS for Representatives

Installing License Keys

Once OASIS is installed and the database is created, launch OASIS from the “OASIS” icon. The first login will show the following message:

Just press “Yes” to create the tables in the database for OASIS – you will see the following progress window while the tables are being created:

Login with the default demo account – just key “demo” as a user without a password:

The following error will show, indicating there are no valid license keys available for the application:

Press the “License Viewer” button:

It is very important to change the license to and DBID fields to match the email sent to you by OASIS support – even if this is an evaluation license key. Here is an example of what might be sent by OASIS support:

LicensedTo:        DEMO

DBID:                     DEMO-DB-0000

Change the corresponding fields in the license viewer to match:

Now save the .lic document that was sent in the same email to your desktop. Then press the “Add …” button to locate the file:

The following window will indicate the licenses were successfully added to OASIS:

Press Ok to see the licenses that were added:

Now press the “Close” button to complete the login:

Setup Workgroup

Sales agencies have used OASIS workgroups for different offices or business models (e.g. the controls department versus the lighting department). Associated with each workgroup is an address and a logo. Each user is then assigned a primary workgroup.

If no users, or customers have been setup, change the workgroup ID as required. Otherwise, it is recommended to create a new workgroup and move all users to the new workgroup. Then set the workgroup name and logo:

Create User Accounts - adjust Workgroup access

User accounts define each user that logs into OASIS. To create a new account, select "Configuration" and then "Users". Then select "File" then "New":

Key the user ID and name. Then select CSR, Quoter and/or Sales as required (these roles populate corresponding fields in orders and quotes). Then add a password or select "No Password". Select "Active".

Next, select the Security tab and set security as required. If unsure, select all areas for full access to OASIS:

Note that existing accounts will show the default workgroup (e.g. the demo account). Double click on the account to disable or set the new workgroup:

Setting up Manufacturers

The manufacturer application in OASIS may be used to capture represented and resell vendors the sales agency represents or otherwise sells product for. To setup a manufacturer entry in OASIS, select the manufacturers application in OASIS and select “File” then “New”:

Key the manufacturer name and manufacturer ID are required. The rest of the information is optional. However, we do strongly recommend adding the standard commission rate and overage split. To do this, select the “Terms” tab, then select the “Commissions / invoicing” tab:

Save and close the entry.

Create Customer Accounts

Select the customers application in OASIS and then select "File" then "New":

Enter the company name and a short ID. The short ID may be anything - but is recommended to be a short code most users will know easily. It is also recommended to set the customer type (typically "Distributor"). Then select the contact information tab:

Key the bill to, ship to, and sold to information. Then key the phones and website information. Then select the contacts tab:

Key the contact name and the email address. Save and close the new customer.

Setup Representatives

This is an optional step, but does allow users to interact with other friendly reps and to report on losses to other competing reps.

First, select the Representatives application in OASIS:

To create a new representative entry, click "New" under the "File" menu. The representative ID and the representative name are required:

Next, add any contact information to the tab labeled "Contact Information":

Next, select the Contacts tab:

Key the contact name and the email address. Save and close the new representative.
