Overview

Some manufacturers have direct connectivity to OASIS for downloading and applying shipping information. This automatically creates the shipment record and applies it to the PO.

For those manufacturers that do not, there is a simple method in OASIS to apply shipping information. Also, entering shipping information can be a strategic part of your customer service process. By entering shipping information you can:

-          Track items that have shipped or not shipped closely, allowing follow-up with a factory.

-          Produce a report for a customer showing what the status of shipping is for a single PO or the entire job.

-          If your agency has the OASIS Web interface, the shipping information entered can be pushed to the Web portion allowing customers access to their orders with your agency 24/7 moving customer service to the next level.

 

Applying Shipping Information

-          Find the PO and open.

-          Notice the “Add Shipping” link just below each line on the order.

There are 2 ways to apply shipping manually, each individual line or to all lines. Both are covered here.

Applying shipping to individual lines

-          Click on “Add Shipping”

-          Notice the brown/tan line that appears under the original line. This is the shipping line.

-          There are 3 statuses that are used, “Ack” (Acknowledged), Scheduled, Actual 

Ack (Acknowledged)

Quantity and SO (Sales Order) number only are entered

Sch (Scheduled)

Date entered only (Scheduled Date)

Actual

Actual Ship date – Loc (warehouse), SCAC, Tracking number entered

The status will change automatically as the above items are entered.  

OASIS allows 3 different types of shipping information to be applied – Acknowledged, Schedule or Ship. Any one can be applied at any time and is not dependant on one being applied before. However the normal order would be Acknowledge, Schedule then Ship. Below are 3 methods, and then followed by the application of the details. All shipping records will show as “brown” lines below each line where shipping is applied.

 

Applying shipping to all lines

If applying shipping to all lines, use the Shipping Toolbar.

 - Go to Edit, then Shipping Toolbar

-          Notice the Shipping toolbar appears in the header area

-          Enter the shipping information same as above.

-          There are 3 statuses that are used, “Ack” (Acknowledged), Scheduled, Actual

-          The status will change automatically as the above items are entered.

-        Once you have entered the information, click the Apply button

-          Shipping will then ask a question about applying to all lines, click Create New.

-          Shipping will apply to all lines

Splitting a line – This is more likely done on the invoice, but can be done here as well (same process)

         - To split a line for shipping, click “Add Factory Item” just below a line item

         - Example – Fixture is ordered but “cans” shipped ahead

                 - the original line will split into 2 lines either or both of the lines can be used, quantities can be changed, part can be changed, etc.

                 Then shipping is applied by clicking “Add Shipping”. The shipment line will appear below the line and you can add the information.

        

Reporting

There are several reports on Shipping in OASIS:

-          Project Status – in a Project, go to Reports, then Project Status – this will produce a report of all orders for this project/job with all lines shown and their individual shipping information per line.

-          Order Status – in an order, go to Reports, and then Order status – this will produce a shipping status report of all lines on this order.
